Space Use and Event Planning at FAU Jupiter

FAU Jupiter offers use of classrooms, computer labs, conference rooms, recreational areas, open gathering spaces, and an auditorium to non-FAU entities to rent when they are not reserved for credit instruction or academic use. In general, priority for use will be given to users and activities that enhance the mission and purpose of the University.

Refer to space rental fees and pricing here (classrooms) and here (Burrow) and review University Policy 4.2.1 on the Use of University Facilities, as well as the Guidelines that apply to the John D. MacArthur Campus in Jupiter at Florida Atlantic University. The Campus Associate Provost or designee must approve all uses of campus property and University facilities. Unauthorized use of campus property and University facilities is prohibited and will result in trespass from campus.

All completed space use paperwork (listed below) must be submitted at least two (2) weeks prior to the date of your planned event.

STEPS FOR REQUESTING SPACE/ROOM RENTALS:

External Users:

  1. Review the Guidelines for the use of facilities. Refer here for pricing and fee schedules.
    Complete the following forms and submit to the Coordinator of Administrative Services at mkominarek@fau.edu (e-mail) or 561-799-8502 (fax):
    • Facilities Use Application. This application is used to determine space use needs only. It does not guarantee or reserve the "setup needs" indicated. Separate forms (listed below under "Space Use Forms") must be submitted in advance of the deadline dates.
    • Reservation and Facilities Use Agreement Form
    • Certificate of Liability Insurance . Please Note: Submitting a Certificate of Liability Insurance (with the required language) cannot be waived. The liability insurance must include the following language: "The Florida Atlantic University Board of Trustees, the Florida Board of Governors, the State of Florida and their respective officers, agents, volunteers and employees are listed as Additional Insured under this commercial general liability policy."
  2. The three forms will be reviewed and if approved, signed by the Associate Provost and Executive Director of Academic Operations. The paperwork must then be approved by the Office of Space Utilization and Analysis (OSUA).
  3. Approvals, on average, take approximately two (2) weeks. Once approved, a Facilities Reservation Confirmation (FRC) invoice with proposed charges will be sent to you to sign and approve. A 10% non-refundable deposit of total estimated costs must be paid within three (3) business days to reserve the space or your reservation will be cancelled. Please Note: You may not advertise or promote FAU Jupiter as the location of your event until receiving official approval from FAU and submitting a deposit. Once approved, the location should be advertised as "FAU Jupiter" or "FAU John D. MacArthur Campus at Jupiter".
  4. The full balance will be due at least five (5) business days prior to the date of your event. Failing to receive payment will result in the cancellation of your space use reservation. Within five (5) days of your reservation, payments are also considered non-refundable.
  5. To arrange other event needs, such as ground signs, parking, equipment, catering, A/V support, etc., please refer to the ā€œEvent Planning Considerationsā€ section below.

FAU Student Organizations:

  1. Review the Guidelines for the use of facilities. Refer here for pricing and fee schedules.
  2. Student groups and organizations must submit their program registration paperwork with Student Affairs/Campus Life and/or .
  3. However, if student groups and organizations are collaborating with an external group, a Certificate of Liability Insurance may be required to be submitted by the external group. The liability insurance must include the following language: "The Florida Atlantic University Board of Trustees, the Florida Board of Governors, the State of Florida and their respective officers, agents, volunteers and employees are listed as Additional Insured under this commercial general liability policy."
  4. To arrange other event needs, such as ground signs, parking, equipment, catering, A/V support, etc., please refer to the ā€œEvent Planning Considerationsā€ section below.

FAU Faculty/Departments/Units:

  1. Review the Guidelines for the use of facilities. Refer here for pricing and fee schedules.
  2. Complete the Facilities Use Application here. Submit to mkominarek@fau.edu (e-mail) or 561-799-8502 (fax).
  3. If FAU faculty/departments/units are collaborating with an external group, a Certificate of Liability Insurance may be required to be submitted by the external group.
